

MARKETING COORDINATOR
JOB DESCRIPTION
Hallberg Engineering is searching for an experienced Marketing/Administrative Coordinator.
This position will identify, develop, and implement communication, promotion, and business development strategies for use internally and externally. This person will also assist with administrative and accounting tasks to support business-wide activities.
RESPONSIBILITIES
Working closely with the Project Managers the Coordinator plays a key role in the successful execution of proposals and marketing efforts. Reporting to the Office Manager, this individual will be an integral part in the execution of marketing plans ranging from business development efforts to market awareness. Administratively this position will assist with office tasks to support team members and project needs.
The duties listed below are minimum requirements for the position, but are not all encompassing. Each individual is expected to perform any duties required to deliver a quality product on schedule. Specific responsibilities will include, but not be limited to, the following:
MARKETING

Coordinate all aspects of written proposal development following RFP timelines to include compiling technical and non-technical data, editing, assembling, and submitting of proposal.

Communicate and build internal and external relationships to ensure proposal strategy and input are accurate, persuasive, and timely.

Manage opportunity and project information and enter into project database.

Gather and write information for project proposals and resumes, compile, and format. Maintain the project experience and resume databases with consistent formatting and writing style.

Coordinate, schedule, and maintain architectural project photos.

Distribute resumes/project sheets to industry partners – make sure content is relevant and consistent with the opportunity.

Update company website, prepare digital marketing/social media updates, automation, and analytics.

Support the planning and execution of industry conferences and trade shows, including scheduling, resource planning and event logistics.

Recommend tradeshow promotion items. Purchase branded items, monitor inventory levels, and plan tradeshow needs.

Design and coordinate all company advertising and maintain firm’s image.

Support business development activities. Manage sponsorships for associations, booster clubs, golf tournaments, and other events.

Assist with company-wide special events.

Assist in preparation of the marketing plan and budget.

Coordinate the company holiday card and client gift distribution.

Coordinate company logo clothing orders and online store.

Attend tradeshows and other events for clients/associations or educational/community events for professional development. Participate in professional societies.
ADMINISTRATIVE
-
Provide support for all departments within Hallberg Engineering (Admin, Mech, Elec, Commissioning, technology, retail, etc.)

Assist with in office staff events
-
Upon award setup projects in the system to include clients, billing terms and file structure.

Assist with client billings for project managers as time permits
-
Other duties as necessary and assigned
QUALIFICATIONS
-
Bachelor’s degree in marketing, business administration, communications, or related field.
-
Minimum of two years experience in business, marketing, or communications, preferably within the Engineering/Architecture/Construction industries or a familiarization with the K-12 schools environment.

Excellent verbal and written communication skills, ability to assist with marketing and technical copy, and client relation skills.

Strong organizational skills with the proficiency to manage multiple tasks and deadlines.

Meticulous attention to detail to ensure that information in the system is correct and up to date.

Strong knowledge of social media platforms particularly LinkedIn, Facebook & Instagram in regards to posting, monitoring, and tracking latest trends.

Serve as a brand ambassador by maintaining consistent communications and having strong presentation skills.

Graphics capabilities to include concept design, layout, text and image formatting, and knowledge of graphics software (Adobe Creative Suite – Photoshop, InDesign, Illustrator).

Experience assisting with accounting tasks is highly desirable.

Proficient in the use of Microsoft Outlook, Word, Excel, and PowerPoint. Knowledge of CRM platforms preferred.

Must be able to move about the work area and travel to work-sites as needed or required.

Ability to work hybrid per the telecommuting policy following training period.
RELATIONSHIP TO OTHERS
Works closely with Principals and Project Managers along with administrative and technical staff as needed. Position requires high degree of creativity and self-motivation. Individual will also work with consultants, graphic designers, printers, etc. to further the growth of the firm.
